In today’s hybrid working environment, seamless communication is essential. Whether you're hosting clients, collaborating with remote teams, or leading internal meetings, your audio visual (AV) system plays a critical role in how effectively your message is delivered.

Yet too often, businesses only realise there’s a problem after something goes wrong, when the screen won’t connect, the audio cuts out, or the call drops at a crucial moment. These disruptions aren’t just frustrating, they affect productivity and professionalism. The quality and reliability of your AV setup can make or break collaboration. That’s why regular AV health checks are more important than ever.

So, when was the last time you checked the overall health of your AV systems?AVITdirect has come up with AVITdirect's AV Health Check, which gives you a clear, structured way to measure how your AV systems are performing, identify problem areas, and create a list for improvement. Best of all, we can guide you through the process.

What is the AV Health Check?

AVITdirect's AV Health Check is a proactive assessment of your audio visual systems using an 8-aspect self-scoring framework, allowing you to self-assess your systems on a scale of 0 to 10 in each category. Each aspect focuses on a critical area of AV performance and user-experience.

1. User Friendliness

How easy your AV systems are for the end users to operate, requiring little to no training.

How to Measure: Review user feedback, training requirements, and support requests. If most users can start a meeting without assistance, give it a score close to 10. If they find the system complicated or confusing, assign a lower score.

2. Operational Reliability

How consistent your AV systems operate without any breakdowns or interruptions.

How to Measure: Monitor system startup times and recurring technical issues. If the system works smoothly every time, assign a score closer to 10. Assign a lower score if it frequently breaks down and experiences issues.

3. Solution Fit

How well the AV technology supports the specific needs and workflows of your organisation.

How to Measure: Compare your system's capabilities against your actual requirements. If the technology is up-to-date and meets your needs, assign a higher score. Give it a lower score if it is outdated or doesn't meet your needs.

4. System Design

How well the AV system design adheres to industry standards and ensures proper placement of equipment.

How to Measure: Assess whether the system has been professionally designed in line with the standards, using well-matched components, accessible controls, and delivering high-quality audio and visuals. If the design follows best practices and components are properly placed, assign a higher score, otherwise, assign a lower score.

5. Spatial Integration

How effective your AV technology integrates into the physical environment, taking into account layout, acoustics, lighting, and cable management.

How to Measure: Evaluate the setup to ensure cables are tidy and hidden, lighting is optimised, and furniture is arranged to support the system. If the environment is well-integrated, assign a higher score, otherwise, assign a lower score.

6. User Adoption

How widely and effectively the AV system is used by your team.

How to Measure: Track usage rates and collect user feedback. Low adoption often indicates usability or relevance issues, so assign a lower score. If user adoption is high, assign a higher score.

7. Support and Maintenance

How quickly and effective issues are resolved, and whether proactive maintenance or remote monitoring is in place.

How to Measure: Evaluate resolution times, user disruption, and preventative maintenance processes. If AV support is proactive and downtime is minimal, assign a higher score, if support is slow, assign a lower score.

8. Security

How well the AV systems are protected against cyber threats.

How to Measure: Review network segmentation, software updates, access controls, and antivirus measures. If security practices are robust, assign a higher score, if vulnerabilities exist, assign a lower score.

How to Calculate Your AV Health Score

  1. Score each aspect from 0 (critical issues) to 10 (excellent performance).
  2. Add up the scores and divide by 8 to determine your overall AV Health Score.

Interpretation:

Score < 4

Significant issues exist may be affecting business operations. Immediate action is recommended.

Score 4 - 7

There are areas that need attention — for example, strong technology but low user adoption.

Score 8 - 10

Your systems are well-optimised and consistently performing at a high level.
